Position Summary
The Supply Chain Administrative Assistant provides comprehensive administrative and operational support to ensure efficient daily supply chain activities and successful execution of special projects. This role supports processes including Requests for Proposals (RFPs), purchase order creation, invoicing issue resolution, vendor management, and general supply chain requests.
Duties & Responsibilities
- Provide administrative and operational support to ensure efficient daily supply chain activities.
- Assist with the preparation, coordination, and documentation of Requests for Proposals (RFPs).
- Create and process purchase orders in accordance with established policies and procedures.
- Review and resolve purchase order and invoicing discrepancies in collaboration with internal departments and vendors.
- Support vendor management activities, including communication, documentation, and record maintenance.
- Assist with onboarding new suppliers through email and digital platforms.
- Conduct quality control reviews of requisitions and quotations prior to purchase order creation to ensure accuracy and compliance.
- Respond to and track general supply chain requests in a timely manner.
- Maintain and update supply chain systems and online platforms as required.
- Participate in meetings (in-person and virtual) to support business units and supply chain initiatives.
- Perform additional administrative and project-related duties as assigned.
Supervisory Responsibilties
The team member in this role will:
- Serve as an Individual Contributor without supervisory responsibilities.
- Support and contribute towards team goals and objectives.
Required Skills & Abilities
- Strong computer skills, including MS Excel and PowerPoint
- Knowledge of internal controls documentation
- Excellent communication, interpersonal, and customer service skills.
- Strong analytical ability and organization skills
- Ability to work independently as well as part of a team
- Technical Proficiency and Policy Compliance
Education & Work Experience
- High school diploma or equivalent required.
- Associate degree in Supply Chain Management, Business Administration, Accounting, or a related field preferred.
- Relevant certifications (e.g., supply chain, procurement, or administrative support) are a plus.
- 1–3 years of administrative experience, preferably in supply chain, procurement, logistics, or accounting.
- Experience supporting purchase orders, invoicing, vendor communications, and document management.
- Familiarity with ERP systems, procurement platforms, or other supply chain software preferred.
- Experience working in a fast-paced, deadline-driven environment with multiple priorities.
Physical Requirements
The ideal candidate must be able to complete the following physical requirements of the job with or without a reasonable accommodation:
- Remain stationery for prolonged periods of time.
- Operate a computer and other office productivity machinery as necessary.

Work Context
- This is a full-time non-exempt salaried position.
